Privacy & Matching Notice

How Hand Me Forward uses family information for private clothing matching.

Starter privacy notice. This draft describes the included WordPress pilot code. Review and customize it before publishing, especially after choosing analytics, advertising, and email vendors. This is not legal advice.

What we collect

When an adult registers, Hand Me Forward collects the parent’s name, email, phone number, street address, city, ZIP, participation role, and contact preference; a child’s birth month/year (not name or full birth date), clothing size, typical clothing style, and optionally a color palette; clothing-offer details; and optional self-identified clothing-cost assistance preference.

Why we collect it

We use this information to operate the clothing exchange: finding compatible sizes and nearby families, sending match invitations, supporting the exchange, preventing misuse, and responding to requests. During the pilot, matching uses ZIP-code and city comparisons for approximate proximity; a coordinator can review address logistics privately.

When information is shared

We do not publish registrant details. When both proposed-match participants accept, the system emails each participant the other’s name, email address, phone number, and city/ZIP. Street addresses are not automatically disclosed. Each participant decides whether and when to share an exact pickup location.

Marketing and advertising

Optional marketing signup is a separate, unchecked choice. It is not required for clothing matching. We do not sell or provide registrant contact lists to advertisers or commercial partners. If we add advertising, analytics, newsletters, or affiliate links, this notice and our consent tools must be updated to describe vendors and their use of cookies or personal information before launch.

Retention and requests

Information is stored in the site’s private WordPress database and should be accessible only to authorized coordinators. Request a correction or deletion using the contact form and identifying signup email. The operator will review inactive records at least annually and remove data that is no longer needed. Database backups may persist temporarily according to the hosting provider’s backup policy.

Security and age requirements

Adults 18 and older register. Children do not create accounts. We use WordPress security controls and access restrictions, but no internet system can guarantee absolute security. Exact handoff locations are agreed directly between matched adults.

Updates

This notice may change as the pilot evolves. Publish an effective date and responsible organization/contact information before accepting registrations.
